- How to start
- Sign up, confirm your email address, choose the Meeting rooms template, check your rooms, hours and prices and put the button on your website.
- Languages
- This website and sign-up are in English. The booking widget, booking page and emails for your guests are available in English, Dutch, German and Swedish. The admin is available in the same four languages.
- Currency
- Your licence is billed in euros. If guests pay online, they pay in euros through your own Mollie account.
- Your data
- The database is hosted in Frankfurt, Germany, inside the EU. The provider is a sole trader in Sweden.
- What it does not do
- Requests that you approve first, hiring out on invoice, quotes, or keeping track of individual projectors and flip charts.
What it does for your meeting rooms
Your rooms take bookings while you get on with the day.
- By the hour, half day or day
- You decide which lengths can be booked, for example one, two, four or eight hours, and whether a booking can start every half hour or on the hour.
- Price per room per hour
- The hirer sees the cost for the length they pick straight away. Prefer a fixed price per booking? Change it for that room.
- Tea, coffee and lunch
- Extras per person or per booking are chosen while booking, and the price is added at once.
- Weekdays only
- You set opening hours per day. The template starts with Monday to Friday from eight to six, and you add closed days separately.
- Payment in advance
- For each room you choose no advance payment, a deposit or full payment in advance, through your own Mollie account and in euros.
- Never double booked
- Only one booking per room is possible at a time, even if two hirers press the button at the same moment.

Frequently asked questions
How much does meeting room booking software cost?
The Activities package costs €189 a month per location, excluding VAT, for all your rooms together and with no fee per booking. If you don't need online payment, Basic (€49) plus the Activities per time slot module also works.
Can a company book a full day?
Yes, as long as you offer that length. The template starts with one, two, four or eight hours, and you can change them.
What if a group doesn't fit in one room?
You set how many people fit in a room. A larger group gets several rooms in a single booking. If your rooms can't be combined, set the largest group to what one room holds.
Can I hire out rooms on invoice?
No. Payment is made online through your own Mollie account or on the day. Invoices to hirers are something you send yourself, outside the system.
Can a hirer send a request first?
No. A booking for a free slot is confirmed straight away. If you want to review every request first, this system isn't the right fit.
Is the booking widget available in English?
Yes, the booking widget, the booking page and the emails to your guests are available in English, Dutch, German and Swedish. Sign-up and the admin are available in English too.
