Payments and gift cards

Payment in advance and deposits through your own Mollie account, refunds, and selling and redeeming gift cards.

Connecting Mollie

Guests pay through your own Mollie account, so the money goes straight to you. You'll need the Online payments module for this, which is included in the Activities plan or available on its own under Licences and invoices.

Paying in advance works for activities, salon appointments and gift cards. It isn't available for table bookings.

  1. Create an account at mollie.com and switch on iDEAL.

In Mollie you'll find your keys: a test key starting with test_ and a live key starting with live_.

  2. Go to Payments, paste the key into Key and click Save key.

You'll see Mollie key saved. After that the key is never shown again, only its last few characters.

Paying in advance for activities

Only for Activities

  1. Open an activity in Activities and rates and, under Payment when booking, choose None, pay on site, Deposit or Full payment in advance.

With Deposit you fill in the Deposit (%).

  2. Save the activity.

Guests pay through Mollie when they book, and can see what they're paying now.

Paying in advance for appointments

Only for Salon

  1. In Payments, under Appointments, choose whether clients pay in full or pay a deposit when they book online.

An appointment with a payment is only secured once it's paid; if the client doesn't pay within 20 minutes, the time becomes free again.

  2. If one treatment needs something different, set that on the treatment itself in Treatments.

Appointments made at the desk never require payment in advance.

  3. Under Currency for your treatments, choose Euro or Swedish kronor.

Mollie only offers Swish for payments in kronor, and only if Swish is switched on in your Mollie account. If you change currency, check your prices: the amounts don't convert by themselves.

Refunds

If a guest cancels within the period you set in Online booking, you get an email with the amount. You make the refund yourself in Mollie; it doesn't happen automatically.

If you cancel an appointment that was paid online, you'll see the amount and refund it in Mollie. Any amount that came from a gift card goes back onto the card automatically.

Selling gift cards

Guests buy a card for a fixed amount online and pay through your Mollie account. They receive a code by email, which they can enter when they book online with advance payment. You'll need the Gift cards module and a Mollie key.

  1. Go to Gift cards and switch on Sell gift cards online.

If that isn't possible yet, you'll see what's missing: the module or the Mollie key.

  2. Under Amounts, use Amount to add the values guests can choose from, and fill in Valid for (months).

Validity counts from the moment of payment and applies to cards you sell from then on.

Redeeming a gift card at the desk

Online bookings with advance payment deduct from the card by themselves. At the desk, for a table booking or for an appointment, you do it yourself.

  1. Under Deduct, fill in the Code and the amount, plus a Note (optional) if you like.

You first get a check showing the card, the amount and the new balance.

  2. Confirm the deduction.

You'll see the new balance. The balance can't go below zero.

  3. Made a mistake? Open the card under Gift cards sold and click Transactions.

That's where you reverse the card's most recent deduction.
