Waiting list

How guests join the waiting list when a time is full, and how you contact and seat them. For tables and for salons.

Switching on the waiting list

The waiting list is a module. If it isn't part of your plan, switch it on under Licences and invoices. Then turn it on in Online booking, under Rules for guests, with the Waiting list switch.

Waiting list for tables

Only for Restaurant

When a time is fully booked, the guest can leave their details. They hear about it when a place comes free, but that's up to you: no automatic email is sent.

  1. Go to Waiting list, or look in Today in the Arrivals drawer under Waiting list.

You'll see who's waiting, along with the time they'd like.

  2. Call or email the guest and click Mark as contacted.

    The status changes to Notified.

  3. When the guest comes in, click Seated.

The guest is no longer active on the waiting list.

Waiting list in the salon

Only for Salon

When there's no time left online for a treatment on a given day, a client can put themselves on the waiting list for that day, with a particular staff member or with no preference, and for part of the day if they like.

If a time comes free because someone cancels or reschedules, the first client that time suits gets an email straight away with a link to book. The system also checks by itself every hour. The time isn't held, though: anyone booking online in the normal way can take it as well.

  1. Go to Waiting list and choose a day under Days with waiting clients.

You'll see who's waiting, which offers have been sent and until when the link works.

  2. Click Find free slots now after changing the rota.

Clients a time suits get an offer by email straight away.

  3. If someone no longer wants to wait, click Remove from list.

The client won't receive any more offers.
