Services: when guests can book
Only for Restaurant
A service is a block in your week when guests can book, such as Lunch or Dinner. Without a service, nobody can book online.
Go to Times and spots and click Add service under Services.
The new service appears in the list on the left.
Under Days and times, choose a Time slot with a start and an end for each day. If the times are the same, Copy to other days puts them on the other days in one go.
A day without a time slot counts as Closed for this service.
Under Time at the table, enter how many minutes a table stays taken during this service, then save.
You'll see Saved.
Spots and busy times
Only for Restaurant
Under Spots, fill in the Largest party online.
A bigger party sees your phone number and calls you instead.
Fill in Arrivals per quarter hour to spread the pressure on your kitchen.
That's how many guests may arrive within one quarter of an hour.
Fill in Time at the table, default and Time between two bookings.
A service with its own duration takes priority over the default.
If you want a maximum number of guests within a time window, choose Add window under Busy times per day and fill in Max guests.
Any booking that touches the window counts towards it.
Switch on Choose table automatically if online bookings should get a table straight away, then click Save spots.
An online booking gets the smallest free table the party fits at. At the front desk you can always change it.
Drawing your floor and tables
Only for Restaurant
In Floor and tables you draw your room with its tables, walls and fixed features. You'll see the same floor plan again in Today. Changes are saved straight away, and Undo takes them back.
Click Add room and give it a name, such as Restaurant or Terrace.
An empty room appears in the Plan.
Under Tables, tap a shape or drag it to where it belongs.
The table lands in the middle of the screen, or wherever you let go of it.
Tap a table and fill in its Name, Minimum people and Maximum people. Choose a Shape and a Zone as well.
Guests use the zone (indoors, terrace, bar) when they state a preference.
Draw walls with Draw wall and place fixed features such as a bar or a door.
Guests can't book fixed features.
For a larger party, select several tables (Shift and click, or drag a box around them) and click Create combination. Set the limits and click Save combination.
The tables are now Bookable together. At the front desk you pick the combination under Change table or on the floor plan.
Setting up activities and spots
Only for Activities
An activity is what guests book, such as Bowling or Padel. Spots are what they book per time slot: lanes, courts, rooms or boats. Each spot takes one booking per time slot.
Go to Activities and rates and click Add activity.
Step 1, What do you offer?, asks you to pick whatever is closest to your offer, or Something else for a blank activity.
Under Spots, fill in the Name guests see and choose either Use my existing spots or Extra new spots, with the Number of spots and Max. people per spot. Click Next.
A party too large for one spot automatically gets several spots side by side.
Under Price and times, set the price, how long guests can book for and your opening hours. Click Create activity.
The activity appears in the What guests can book list and can be booked online straight away.
Click the activity to fine tune everything: Duration in minutes, separated by commas, Start times every, Min. group, Max. group online, Minimum notice (min), How far ahead (days) and Playing times per day.
The end time is when the last game must finish, and it may fall after midnight.
Under Price, choose a rate per spot per hour, per person per hour, or a fixed amount per booking. With Different price at certain times you can, for example, give the evening its own rate.
The start time of the booking decides which rate applies.
Add things like shoes or a racket under Extras, priced per person or per spot.
Guests choose them while booking.
Treatments
Only for Salon
Treatments lists what clients can book online, how long each one takes and who carries it out.
Go to Treatments and click Add treatment.
The New treatment window opens.
Fill in the Name, and if you like a Category (optional) and Description (optional), then the duration under Work (min) and the price.
A name, duration and price are enough to get started.
Does the client stay in the chair partway through, as with colouring? Fill in Processing time and Finishing. A Buffer keeps time free for tidying up.
During the processing time the staff member can help someone else. The client never sees the buffer.
Under Who does this treatment?, tick the staff members, choose Bookable online and save.
If nobody is ticked, every staff member can do it.
Staff members, working hours and absence
Only for Salon
Clients can only book within a staff member's working hours, and not while that person is away.
Go to Staff members and click Add staff member.
The New staff member window opens.
Fill in the Name, pick a Colour in the calendar and, if you like, write a Short text for clients (optional).
Clients see the name and the short text.
Under Working hours, set a Time slot for each day. For a break, use two time slots, for example 09:00 to 12:30 and 13:00 to 17:30.
A day without a time slot shows as Off.
If you like, link the staff member to someone in your team under Link to team member (optional), then save.
You'll see Staff member saved.
If someone is off, ill or on a course, enter the dates under Absence, add a Reason (optional) if you wish, and click Add.
During that time nobody can book this staff member online. Appointments already in the diary stay put, so check them in Appointments.
Closed days
On a closed day nobody can book online, for example during a private party or a holiday. Restaurants and businesses with activities find this under Times and spots, in Closed; salons find it under Closed days.
Under Close days, pick a date, and for a longer period add an end date under Up to and including (optional).
Guests can see a Note (optional), such as: private party.
Click Close days.
You'll see Closed days added and the day appears in the list.
If the day opens after all, click the option to open it again next to that day and choose Yes, open this day again.
Guests can book on it once more.
